The Owner's Evening Summary: Today's Leads, Who Is Still Waiting and What Fell Through
Quick answer
Every evening at 18:30 company time, MAJ Leads sends the owner a short summary: today's new leads, the median time to first reply, how many fell through, and who is still waiting, by name and minutes. It goes by WhatsApp, push or email, whichever works first, and stays silent on a quiet day.
Note
Why does an owner need an evening summary?
Because an owner is usually the person who is not looking at the lead list. The reps are. By the end of the day the owner wants three answers without opening anything: how many leads came in, did anyone reach them quickly, and is someone still waiting for a call. The summary answers those three and links to the dashboard for the rest. It is a read-out of numbers MAJ Leads already keeps, not a new report to maintain. Our guide on what a sales manager can see about each rep covers the live screens. This is the one message that comes to you.
What does the summary say?
Two short lines come first, then up to five optional lines that appear only when they apply. Written out for a workspace with a busy day:
- Line 1. "Today: 12 leads, first reply 4 min median, 0 fell through." With no leads yet it reads "Today: no new leads". If nobody has been reached it says "no first reply yet".
- Line 2. "3 waiting for you: Sara (Bayut, 41 min), Omar (Website, 12 min), Lina (Meta, 9 min)." It names at most three people, longest wait first, and adds "and 2 more" when there are others. When nobody is waiting it says "Nobody is waiting."
- A Facebook line when a Meta connection is broken: "Facebook leads are not arriving from your Page. Reconnect in Settings, Sources."
- A hold line when your plan's lead cap is holding leads: "4 leads are on hold until your plan starts."
- A Meta count for workspaces with a Meta source: how many leads Meta announced today against how many MAJ Leads created, so a gap shows.
- A recovery line when the nightly gap check brought in leads that missed their first delivery: "Recovered 2 Meta leads that did not arrive on time."
- A review line when review requests went out today: "3 review requests sent."
The Meta lines come from the checks described in our guide to a Meta lead that never arrived, and the review line counts the requests described in our guide to asking customers for Google reviews.
How is each number counted?
| Number | What it counts |
|---|---|
| New leads | Leads created on the company's own calendar day that count in a figure. Deleted leads, test leads, quarantined leads, file imports and leads marked Junk or Wrong number are left out. |
| Contacted | Of those, leads with a logged result that reached the person. Tapping Call on its own is not contact. |
| First reply, median | Minutes from the lead arriving to its first reply, middle value of the day. A median is not moved much by one very slow lead. |
| Fell through | Of today's leads, those the fell-through list shows as not contacted yet right now. |
| Waiting | Open team calls that are past due, longest wait first. Test and deleted leads are not counted. |
These are the same figures the dashboard and the fell-through list use, so the number in your evening message and the number on screen do not disagree. A lead is "not contacted" once it has waited ten minutes with no first reply and its call is due. Our guide to leads left up for grabs explains the ten-minute and twenty-minute lines.
When does it stay silent?
It sends nothing on a day with no new leads, nobody waiting, no leads on hold and no broken Meta connection. Our reasoning: a message that says "nothing" every quiet evening teaches an owner to ignore it, so a quiet day is a quiet phone. A broken Facebook connection or leads on hold end the silence on their own, because an owner has to hear those even on a slow day. Recovered leads and review requests do not: they are added to a message that is sent anyway, never a reason to send one.
How does it reach you, and at what time?
The message goes to the workspace owner, the admin who has been on the workspace longest. It is built for 18:30 on the company's own clock, and a workspace is included when that clock is between 17:30 and 19:30 at the moment the daily run fires, which covers the Gulf. A workspace in another time zone is skipped for now. Each workspace gets at most one summary per local day. MAJ Leads tries three routes in order and stops at the first that sends:
| Order | Route | What it needs | What it carries |
|---|---|---|---|
| 1 | The owner has joined WhatsApp alerts, the workspace's own WhatsApp number is connected and verified and not paused by the plan, and the summary template is approved by Meta. | Four numbers only: the date, new leads, contacted and waiting. | |
| 2 | Push | A phone or browser of the owner is subscribed to alerts. | The title and the same lines, with names. |
| 3 | An email address for the owner. | The full lines, a button to open MAJ Leads, and a note on how to turn it off. |
WhatsApp carries only four numbers because the message is a template. Meta's WhatsApp pricing page says a business can send non-template messages only while a 24-hour customer service window is open, and otherwise only template messages. An owner who has not messaged the number that day has no open window, so the summary has to be an approved template with fixed slots. Names and sources travel by push and email. WhatsApp sending from MAJ Leads is rolling out, so plan around push or email. Our guide to lead alerts without an app shows how to set up push on iPhone and Android.
Can you turn it off?
Yes. In Settings, under Reports, the card called Evening summary has one switch. It is on by default, every member can see it, and only a workspace admin can change it. A workspace with the switch off gets no summary at all.
Where does this leave an owner?
You get one message at the end of the working day with the three things you would otherwise open the app to find out, and nothing on the days there is nothing to say. See how it works for the rest of what happens between a lead arriving and the evening message.
