One Board for Every Lead Source: Why Spreadsheets Lose Leads for UAE SMEs

Quick answer

Spreadsheets lose leads because a row has no owner, no due time and no alarm. A lead can sit in column F for two days and nobody is told. One board fixes the cause: every source lands in the same place, each lead becomes a call due for a named rep, and the owner can see what was missed.

How does a lead get lost in a spreadsheet?

Nobody sets out to lose a lead. The spreadsheet starts as a sensible fix: one place to paste every enquiry, a column for the rep's name, a column for status. It works while there are ten leads a week and one person who checks it. Then the business grows, and the sheet starts to leak in the same few ways.

  • Someone has to copy the lead in. A Meta lead sits in the ad account until a person exports it. A portal email sits in an inbox until a person reads it. Every copy step is a delay, and on a busy day it is skipped.
  • A row has no owner until someone types a name. Until then, everyone assumes someone else has it.
  • A row has no due time. "Call back" in the status column does not ring anyone's phone.
  • Nobody is told. A spreadsheet never alerts the owner that a lead from yesterday morning has not been called.
  • The same person appears twice. One enquiry from the website and one from WhatsApp become two rows, two reps and two calls, or none.
  • The sheet depends on one person. When the rep who keeps it is on leave, the sheet stops being updated, and nobody notices until a customer complains.

None of these is a discipline problem you can fix with a team meeting. They come from what a spreadsheet is: a list that waits to be read. A lead needs something that acts.

How many places do UAE leads actually come from?

Count them for your own business. For a typical UAE SME the list looks something like this, and each source has its own inbox, export or app:

Common lead sources for UAE SMEs, and where the lead waits without one board
SourceWhere the lead waits today
Google lead formsThe Google Ads account, until someone downloads it
Meta lead formsThe Meta ad account, until someone exports it
Website formAn email inbox, often a shared one
WhatsAppOne person's phone
Bayut, Property Finder, DubiCarsEnquiry emails in an inbox
Event QR code or lead linkA separate form tool, or a paper list
Old listsA spreadsheet on someone's laptop

WhatsApp deserves a special mention. In a YouGov survey, 2024, commissioned by Zbooni, 85% of UAE residents said they prefer WhatsApp to interact with businesses. So a large part of your demand may live on the one channel that is hardest to copy into a sheet.

What does slow follow-up look like elsewhere?

There is no public study of UAE SME spreadsheets, so we will not invent one. Two studies from the US show how common slow follow-up is. In the 2011 Harvard Business Review study "The Short Life of Online Sales Leads", only 37% of 2,241 US firms responded to an online lead within an hour. And a 2024 secret shop of US brokerages by Mike DelPrete found that 47% of online property enquiries were never answered, with a median reply of 39 minutes. These are US numbers. The point is not the exact figure. It is that a lead nobody is told about is a lead nobody calls.

What changes when every source lands on one board?

MAJ Leads works in three steps. Each one replaces a part of the spreadsheet that relied on someone remembering.

  1. Capture. Google and Meta lead forms, the website snippet, WhatsApp, forwarded portal emails from Bayut, Property Finder and DubiCars, a lead link or QR code, and spreadsheet import all land on one board. Nobody copies a row by hand.
  2. Chase. Each lead becomes a call due for the assigned rep, inside your working hours. If the lead does not pick up, there are up to five tries: now, 15 minutes later, 1 hour later, 4 hours later, and the next working day at 12:00. When a rep is away, the call is rerouted and the owner is alerted.
  3. Compound. The dashboard, analytics and owner digest show what came in, from where, and what happened to it. The owner does not have to open the sheet and scroll to find out.

Note

What we tested: in our own build, 10 of 10 test leads from each of 3 sources got a first task due within 30 seconds, inside working hours. These were test leads we sent ourselves, not customer results.

Should you throw the spreadsheet away?

No. Your old sheet holds leads you paid for. Import it, so those people sit on the same board as new leads, and keep the file as a record. What should stop is the sheet being the place new leads go. A simple way to move over:

  1. List every source that sends you leads today, using the table above as a start.
  2. Connect the sources one at a time, beginning with the one that sends the most leads.
  3. Set the working hours your team actually works, and decide who owns each kind of lead.
  4. Import the open rows from your spreadsheet, so nothing in it is forgotten.
  5. Stop adding new rows to the sheet. If someone still does, find out which source is not connected yet.
  6. After two weeks, check the dashboard for leads that went untouched, and fix the gap you find.

A spreadsheet is a fine place to keep a record. It is a poor place to keep a promise to call someone back. For more on the difference between recording a lead and chasing it, read CRM vs lead management system, and for portal leads in particular, see the first five minutes of a Bayut or Property Finder enquiry. The full flow is on how it works, and plans are on the pricing page. MAJ Leads costs AED 249 (Starter), AED 549 (Growth) or AED 999 (Pro) a month, with a 14-day free trial. A card is needed to start, and nothing is charged for 14 days.

Frequently asked questions

Can I import my existing lead spreadsheet into MAJ Leads?
Yes. Spreadsheet import is one of the capture sources, so the people in your old sheet land on the same board as new leads from Google, Meta, your website, WhatsApp and the portals. Plan limits on rows per file are listed on the pricing page.
Is a lead management system just a better spreadsheet?
No. A spreadsheet stores leads and waits to be read. A lead management system acts on them: each new lead becomes a call due for a named rep inside your working hours, with up to five tries, rerouting when the rep is away and an alert to the owner. The record is a side effect, not the job.
Does MAJ Leads call the leads for us?
No. MAJ Leads does not sell AI voice agents and does not make calls. Your reps make every call. MAJ Leads makes sure each lead reaches the right rep as a call that is due, and keeps it on their list until there is an outcome.
