Booked Is Not Done: Did the Visit Happen, Did the Quote Go Out?

Quick answer

Booked is a promise, not a sale. The next steps that decide the deal are whether the customer came, whether the quote went out, and whether anyone followed up on it. A lead management system should turn each of those into a small task for the same rep at the right time: a check the morning after the visit, two quote follow-ups, and a reminder before a tender closes.

Where do deals die after the booking?

Most of the effort in lead follow-up goes into the first call, and rightly so. In the 2011 Harvard Business Review study "The Short Life of Online Sales Leads", firms that tried to contact a web lead within an hour were nearly seven times as likely to qualify it as firms that waited longer. But once the lead is booked, many teams stop tracking. The deal then fails in places nobody is watching:

  • The no-show. The customer did not come, and nobody called to rebook, so the lead sits as "booked" forever.
  • The quote in the inbox. The quote was sent, the customer meant to reply, and nobody asked again.
  • The missed tender. The closing date passed while the file waited on someone's desk.

How do you know if the customer came?

In MAJ Leads, when a rep books a visit with a date, the system schedules a short check for the same rep at 09:30 the morning after the visit, inside your working hours. It asks one question, "Did they come?", with three answers:

  • Came. The visit is recorded and the deal moves on.
  • No-show. The rep rebooks in one tap, and a new check is set for the new date. If there is no new date, the lead goes back to the rep as a call to offer one.
  • Rescheduled. The new date is stored and the check moves to the morning after it.

A clinic, a showroom or a home-services team can see at a glance which bookings turned into visits, and nobody has to remember to chase a no-show.

How should quotes be followed up?

When a rep marks a quote as sent, they can add its value and a link to it. The quote itself stays where it lives; only the link is stored. Then the follow-up is set without anyone remembering it:

  1. Three days later, at 10:00, a follow-up task is due for the same rep.
  2. If that gets no answer, one more is set for seven days after the quote. That is the last one: two follow-ups per quote, never more.
  3. If the customer replies, or the deal moves on, the follow-ups stop by themselves.

Two follow-ups is a deliberate limit: enough to make sure the quote was seen and the questions were answered, without turning into pressure.

What about tenders and closing dates?

For B2B and trading teams, a lead can carry a tender closing date. A reminder is then due for the rep at 09:30 three days before the deadline, or straight away if the deadline is already that close, so the submission is not left to the last afternoon.

Note

Where this shows: these steps appear for clinic, car, home-services, retail and B2B workspaces, where a visit or a quote is the next step after the first call. Every task they create is a task for one of your reps; nothing is sent to the customer automatically.

For who owns each of these tasks, read who owns this lead, and for the calls before the booking, see the five-attempt follow-up cadence. The full flow is on how it works, and plans are on the pricing page. MAJ Leads costs AED 249 (Starter), AED 549 (Growth) or AED 999 (Pro) a month, with a 14-day free trial. A card is needed to start, and nothing is charged for 14 days.

Frequently asked questions

What happens after a rep books a visit?
A short check is due for the same rep at 09:30 the morning after the visit: did the customer come, not come, or reschedule. A no-show can be rebooked in one tap.
How many times are quotes followed up?
Twice at most: three days after the quote, and, if that gets no answer, seven days after it. A reply from the customer or any move in the deal stops the follow-ups.
Does MAJ Leads message the customer about the quote?
No. Every follow-up is a task for your rep. MAJ Leads does not send messages to the customer by itself, and it does not make calls; your reps do.
Which businesses see these steps?
Clinic, car, home-services, retail and B2B workspaces, where a visit or a quote is the usual next step after the first call.
